Problem
The workflow had become harder to use over time. Tasks were not always presented in a way that matched how people actually worked, information was spread across too many steps, and the process relied too heavily on prior knowledge.
That made routine work slower and less reliable than it should have been, introducing uncertainty into parts of the flow that should have felt straightforward.
Approach
The starting point was to understand where the friction was really coming from. That meant looking at the sequence of actions, identifying where effort was being wasted, and simplifying the structure around the tasks people needed to complete.
From there, the work focused on improving hierarchy, reducing unnecessary complexity, and making the flow easier to follow from one step to the next.
Outcome
The updated workflow was clearer, more predictable, and easier to move through. People were able to complete tasks with more confidence and less reliance on workarounds.
It also created a stronger structure for future improvement, giving the team a more consistent base to build from.
